Tips for Event Planning

If you are an event planner you will know that there are many challenges that you will face with each event. This article will cover some tips that may help you deal with certain challenges that are common for event planners. You should find these tips to be very helpful when planning your next event.

A couple of days before your even you should find out if the hotel is booked. If it is booked you should be able to get the hotel to waive any attrition fees that you have been charged.

You should be at your event site no less than an hour before the scheduled inspection. Show up unannounced and try to walk around and speak with the staff as if you are a guest. You can ask questions as if you are an unseasoned traveler, or you can ask directions. Check out the restaurants and even eat there if you have time. You should request recommendations for a local restaurant just to see the response. If the property doesn’t meet your standards you can save yourself time by knowing it. You may even have enough time to book another hotel.

Every even planner knows that string badges can be easily tangled and make a huge mess at the registration desk. A necklace tree stanchion can be used to hang these name badges so that they do not become tangled. Signs can even be placed on top of them and your registration area will appear much neater, organized, and professional.

It does not look well at all to have empty tables in at the front of the stage on your banquet night; especially if there will be a guest speaker. You can put reserved cards on the last two rows of tables to make sure the front ones are filled first. The reserved seats force people to fill in the front tables first. After the front seats are filled, the reserved cards can be pulled so that the last rows of tables can be used as well.

You should carry any miscellaneous items that you might need with you on the night of the event. A fishing tackle box works great to hold things like pens, staples, paperclips, scissors, box cutters, batteries, Velcro, sewing kits, etc. You can have everything organized so that you will be able to save time when it is needed by not having to search through everything. Keep a list of the contents and as items are used be sure to replace them when you return to your home or office. This will make sure that you do not get to the next event and not have what you need.

These are just a few tips that can help make your even planning a little less stressful. There are many other tricks and tips that you can find just by doing a simple internet search. Most of them are free to use and reprint. Some of these tips can be valuable time savers in a crunch.
